AI Readiness: Is Your Data Ready for Artificial Intelligence?

The most common reason AI projects underdeliver isn't the model โ€” it's the data. AI trained or grounded on messy, scattered, or inaccessible information produces messy, unreliable results. Before you invest in tools, it's worth honestly assessing whether your data is ready. Here's the checklist we use with Midwest businesses.

1. Is your data accessible?

Can the information that matters actually be reached โ€” or is it trapped in one person's spreadsheet, a legacy system, or paper? AI can only work with what it can read. Start by mapping where your important data actually lives.

2. Is it reasonably clean and consistent?

Duplicate customer records, inconsistent naming, and stale entries all degrade AI output. You don't need perfection, but you do need to know how trustworthy each source is. A little cleanup before a project pays for itself many times over.

3. Is it organized enough to ground an assistant?

If you want an assistant that answers from your own documents, those documents need to be findable and current. Outdated policies and contradictory versions are how AI ends up confidently giving wrong answers.

4. Do you know how sensitive it is?

Before any data touches an AI tool, classify it. What's public, what's internal, what's confidential or regulated? This single step prevents the most common and costly AI mistakes, and it feeds directly into your usage policy.

5. Who owns it, and who can see it?

  • Is there a clear owner for each key data source?
  • Are access permissions correct, so AI respects who's allowed to see what?
  • Is there a system of record, or several competing "truths"?

6. Can you measure results?

If you can't measure today's baseline โ€” hours spent, response times, error rates โ€” you won't be able to prove an AI project worked. Decide upfront what success looks like and how you'll track it. Strong data and analytics practices make this far easier.
